CAEA TIMELINE FOR EACH CALENDAR YEAR

JANUARY

  • Election runs from January 1st to January 30th.

  • Scholastic art show hung.

  • All council members and executive board members complete awards

    nomination packets and turn in to awards chair by February 15th.

  • CAEA fellowship/grant applications due to the President by Jan. 15th.

  • Student teaching scholarship applications due to the President by Jan.15th.

  • President sends Scholastics chair tax information for Scholastics events.

  • President confirms fall conference dates, provides tax information, and

    makes deposit with Beaver Run Conference Center.

  • Scholastics student scholarships are selected.

  • Vice President review webpage and send updates by the 15th.


    FEBRUARY

  • Executive Council meeting

  • Representative Council meeting (New representatives and outgoing

    representatives attend.)

  • President-Elect tabulates Election results and contacts newly elected

    representatives.

  • Spring Collage deadline – February 1st

  • President report of state information to NAEA Pacific Region VP due

    February 1st.

  • YAM chair discusses activities for the state for march youth art month.

  • Executive Council judges YAM submissions.

  • Winter Collage published

  • Scholastics show. President or Executive Council member attends

    Scholastic events and distributes scholarship information to student

    winners.

  • President-elect begins soliciting master artists (10)

  • All council members and executive board members complete awards

    nomination packets and turn in to awards chair by February 15th

  • Vice President review webpage and send updates by the 15th.


    MARCH

  • Fall Conference workshop proposals open.

  • YAM show

  • CAEA representative council members and executive council members

    solicit presentation/workshops from other CAEA members, colleagues,

    artists in community, etc.

  • President attends NAEA convention as Colorado voting delegate.

  • Treasurer files non-profit status with Colorado Secretary of State.

    "Charitable Organizations" report and the info comes directly off of the year-end Quicken report.

Vice President review webpage and send updates by the 15th.


APRIL

  • Executive Council meeting

  • Representative council meeting- Sign up for conference committees &

    Vote on CAEA awards.

  • Spring Collage published

  • President report of state information to NAEA Pacific Region VP due April 23rd.

  • Hospitality chair solicits donations for conference swag.

  • Awards chair notifies award nominees of results

  • Vice President review webpage and send updates by the 15th.


    MAY


  • Art Source summer orientation meeting

  • Art for Us Spring Conference

  • President -Conference presenters notified and given dates/times/room

    assignments

  • President works with conference committee task force chairs as needed

  • Awards chair notifies winners of what is needed for awards luncheon

  • Vice President review webpage and send updates by the 15th.


    JUNE


  • President works with conference committee task force chairs as needed.

  • Pre-registration begins on line for fall conference.

  • Deadline for fall conference workshop proposals- Executive council

    completes fall conference schedule.

  • Executive Council retreat

  • President prepares and delivers Colorado State Report to the Pacific

    Region Vice-President.

  • Vice President review webpage and send updates by the 15th.


    JULY


  • President works with conference committee task force chairs as needed.

  • President-Elect- Master classes scheduled and master artist receive

    contracts

  • Pacific Regional Leadership Meeting – CAEA President attends.

  • Place fall conference information and schedule online.

  • Pre-registration begins online for fall conference

  • Awards chair order awards plaques

  • Vice President review webpage and send updates by the 15th.


    AUGUST

Fall Collage deadline – August 1st

  • President report of state information to NAEA Pacific Region VP due August 1st..

  • Pre-registration continues on line for fall conference.

  • President works with conference committee task force chairs as needed.

  • Vice President review webpage and send updates by the 15th.


    SEPTEMBER

  • Representative Council meeting

  • Pre-registration continues on line for fall conference

  • Fall conference pre-registration ends September 30th

  • President works with conference committee task force chairs as needed.

  • Re-open conference workshop proposals to fill vacated spots and allow for

    new presentations to be submitted.

  • Fall conference program book completed and placed online.

  • Conference book task force chair complete conference book and take to

    printers

  • All caea members membership expires September 30

  • Vice President review webpage and send updates by the 15th.


    OCTOBER

  • Pre-registration continues on line for fall conference- ends two weeks prior to conference.

  • Registrar prints conference participant badges

  • Fall Collage published

  • President report of state information to NAEA Pacific Region VP due

    October 1st.

  • Nominate member and/or members for an open caea representative

    council or executive board position – provide all contact information – make sure you, as the nominator have notified the person and he/she is willing to run.

  • President works with conference committee task force chairs as needed.

  • Fall conference program book sent to printer.

  • Vice President review webpage and send updates by the 15th.


    NOVEMBER

  • Complete nominations for caea open positions by November 15th – all nominations are sent to the president-elect who is responsible for the election

  • President-elect contact nominees and get bios for the ballot

  • President-elect works to gain nominees for all open positions with help

    from executive board and representative council members

  • Budget requests sent in and received by November 15th

  • Vice President review webpage and send updates by the 15th.


    DECEMBER

  • Executive board meeting

  • Representative Council meeting

  • Winter Collage deadline – December 1st

  • Colorado scholastic art and writing awards entry deadline

  • NAEA position statement review by President

  • Board ratifies election slate presented by president-elect

  • President-Elect submits ballot and bios to President for electronic election

  • President-Elect creates Googledrive Election form and sends to

    membership January 1st.

  • Election begins online January 1st and ends January 30th

  • Vice President review webpage and send updates by the 15th
