Exhibitor Schedule

Wednesday, November 3 | Exhibitor Setup

9:00 AM – 4:00 PMExhibitor move-in and setup. The Exhibitor Hall will be closed to conference attendees during this time.

Thursday, November 4 | Opening Day

• 11:00 AM – 4:00 PM: Exhibitor Hall Open

• 4:00 – 6:00 PM: Break

• 6:00 – 8:00 PM: Conference Kickoff Reception: Make & Take & Art!

Thursday Evening: Make & Take & Art!

Our Thursday evening kickoff reception is one of the highlights of the CAEA Fall Conference! This interactive celebration brings attendees into the Exhibitor Hall to connect, create, and explore.

We encourage every exhibitor to offer a hands-on experience that invites art educators to interact with your products, materials, or services.

A few ideas:

• A quick, engaging Make & Take project

• A product demonstration or creative challenge

• An interactive game or activity

• A fun giveaway or hands-on experience (no raffles, please)

CAEA will provide:

• Appetizers and cocktails during the reception

• Two cash bars located inside the Exhibitor Hall

• Food service throughout the exhibitor space

Exhibitor Tip: Consider adding an extra table to create a dedicated workspace where attendees can sit, experiment, and explore your products!

Important Exhibitor Commitment

All exhibitors are expected to remain fully set up through 3:00 PM on Saturday, November 6.

If you are unable to staff your booth for the entire conference, please contact our exhibitor coordinator in advance at vendors.caea@gmail.com.
An additional fee may apply for early departure without prior approval.

Booth Sizes & What's Included

Booth Options

• Junior Booth: Approximately 10' × 5'

• Standard Booth: Approximately 10' × 10'

• Double, Triple & Quad Booths: Multiple adjoining standard-size booth spaces

Each Booth Includes

• One 6-foot table

• Two chairs

• One small wastebasket

Additional services may be purchased during registration, including extra tables and chairs, electricity, and internet access.

• Standard Booth: 2 vouchers per day ($15 value each)

• Junior Booth: 1 voucher per day ($15 value)

CAEA uses the Whova conference app to keep attendees connected and informed throughout the event.

We do not provide a printed conference program. Instead, exhibitors can create a digital presence directly within Whova.

We love when our exhibitors share their expertise with Colorado art educators!

If you'd like to present a workshop, demonstration, or educational session at Retro Active 2027, please submit a proposal using the official CAEA workshop proposal form.

Shipping & Freight Information

Please plan ahead when shipping materials to Breckenridge.

Incoming Shipments

• Schedule deliveries to arrive the week before the conference.

• Confirm delivery schedules with your shipping carrier. Some freight companies do not provide daily service to Breckenridge.

Outbound Shipping

Please schedule return pickups for Monday, November 8, 2027.

All outbound shipments must be boxed, palletized (if applicable), labeled, and ready for pickup.

Exhibitors are responsible for arranging and preparing all return shipments using their own shipping accounts.

Please bring any necessary shipping supplies, including:

• Prepaid shipping labels

• Bill of Lading (BOL), if applicable

• Packing tape and markers

• Pallet wrap, if needed

Cancellation & Refund Policy

• Cancellations received before September 1, 2027: A $100 cancellation fee applies.

• Cancellations received on or after September 1, 2027: No refunds will be issued.

All cancellation requests must be submitted in writing to CAEA.
